After a consultation, a pet owner should know where to find the record you shared, whether their next appointment is confirmed and how to contact your team. Start with those tasks when choosing a pet owner app for your veterinary clinic. Downloads alone do not tell you whether any of them work.
This guide is for practice owners and managers comparing an app with a client portal. Use the selection table during a supplier demonstration, then test one task with a small group before extending the workflow across your practice.
Choose the client task before the channel#
For one week, group incoming requests by purpose: a copy of a record, an appointment request, confirmation of a booking or an administrative question. Record categories and counts without copying private message contents into a new spreadsheet. Choose a recurring task that clients could complete digitally.
If reception repeatedly sends vaccination records, test record access first. If appointment requests are hard to track, test the path from request to review to confirmation. Keep these goals separate so the result is understandable.

Pet owner app or veterinary client portal?#
Neither label guarantees a feature. A portal may work well on a phone, while an app may lack an action your team needs. Ask the supplier to demonstrate the same tasks in each option.

Before scoring an option, mark each task as demonstrated, not demonstrated or outside scope. A claim during a sales call is different from a task your team has completed. Do not let a high total score hide a missing critical workflow.
Define what the owner can see#
Separate records approved for sharing from the team's working notes. Decide who publishes a document, how a correction reaches the owner and who handles a pet matched to the wrong account. Test with the intended user roles.

Set expectations for communication. An acknowledgement that a request was received is not an appointment confirmation. Tell owners when a channel is monitored, who responds and which practice-approved contact route to use for urgent concerns. Do not present app messaging as a substitute for urgent assessment.
Run a two-week pilot with one purpose#
Two weeks is a suggested working period, not an industry benchmark or a promise of results. Adjust it to your team's capacity. Invite a small, willing group and keep an existing contact route available for people who cannot use the app.
Day one: explain a useful task#
Have reception demonstrate a record using a demo account or an appropriately authorised test setup. “This is where you can open the vaccination record our practice shares” gives the owner a concrete reason to start. Make sure every team member gives the same explanation.
Week one: record the point of friction#
Track login, practice matching, pet selection and document retrieval separately. Someone who cannot sign in has encountered an access problem; that is not evidence that they dislike digital communication. Assign an owner and follow-up date to each issue. Include feedback from people unable to install an app.

- Who can share a record, and how is an incorrect share corrected?
- Where does an appointment request appear, and who confirms it?
- Who supports an owner who cannot sign in?
- What happens to record access and exports if the practice changes systems?

Frequently asked questions#
What about owners who do not use an app?#
Keep your existing telephone or other approved route. The team should work from a consistent patient record and appointment status, whichever channel the owner uses. Assign responsibility for the alternative route too.
How many downloads count as success?#
There is no useful universal target for this pilot. Define a task and compare completion, requests for help and the team's ability to close requests against your starting position. Downloads describe reach, but not task completion.
Does every message become an appointment or clinical record?#
That depends on the system. Test the actual sequence. Treat a message, an appointment request and a clinician-approved record as distinct states until you have verified the product's behaviour.
