Veterinary Software Cost: Build a First-Year Budget

Comparing two monthly veterinary software prices is straightforward. Comparing the cost of the same users, messaging volume, migration scope and support arrangement requires more preparation. A useful purchasing worksheet makes those assumptions visible.

This guide gives practice owners and managers a method for estimating first-year software cost. All numerical examples are fictional. They are not Vetigen prices, competitor quotations or market averages. Build an actual purchasing decision from current written quotations.

Define one practice scenario first#

Give suppliers the same short requirements file. Include active users, locations, necessary modules, monthly messaging volume, data types to migrate and support expectations. Ask whether a claim of unlimited users has a separate limit on concurrent access or particular roles.

A quote for three users is not comparable with one for the whole team. If one supplier requires annual prepayment and another bills monthly, record the timing of cash outflows too. If the functional requirements are still unclear, begin with the veterinary software selection guide.

Do not assume every product charges separately for these items. If an item is included, record the boundary of that inclusion. If there is no answer, mark it unknown rather than entering zero. Verify taxes, exchange rates and payment charges separately where they apply to your quotation.

Use the same first-year formula#

First-year cash cost = one-time costs + 12 × fixed monthly cost + estimated usage costs + transition overlap costs.

This simplified model does not automatically account for taxes or currency changes. Do not add twelve monthly fees on top of an annual prepaid subscription for the same period. Do not charge again for usage already included in a plan. Show a refundable deposit separately from a permanent expense.

Fictional example: a lower monthly fee can produce a higher first-year total#

Example A is 500 + 12 × 100 + 12 × 30 + 100 = 2,160. Example B is 150 + 12 × 140 + 12 × 10 + 100 = 2,050. Although B has the higher fixed monthly fee, its first-year total in this fictional scenario is 110 currency units lower. The example makes no claim about the value of any real product.

For year two, do not automatically repeat a setup charge. Ask about renewal increases and continuing costs. A first-year advantage does not establish the lowest cost over the whole contract.

Track team time separately#

Estimate the hours needed for training, data cleaning, a pilot and checking old records. Keep cash expenses separate from an estimated economic value of staff time. If paid overtime is already included elsewhere, avoid counting it twice.

Test three usage scenarios#

Complete the same worksheet for expected, lower and higher usage. Which charges change if the team grows or sends more messages? Does crossing a threshold create an extra unit charge or require a different plan? Get those thresholds confirmed by the supplier.

Archives or attachments excluded from migration may need a separate project. Define the scope with the migration readiness checklist, then bring the resulting work into the cost table. Include ownership, usable export formats and delivery times in the purchasing discussion.

Frequently asked questions#

Does a free plan have zero total cost?#

Its licence fee may be zero. Check migration, staff time, optional services and usage separately. Do not assume those items carry a charge either; verify the written scope.

Should we select the lowest total?#

First confirm that the required workflows are supported. A low price does not make a product suitable if a critical task cannot be completed. Compare costs among functionally acceptable options.

What if a supplier has not priced an item?#

Leave it unknown and assign a person and date for the answer. Do not present an incomplete quotation as a final total. Resolve uncertainty that could change the decision before closing the comparison.
