Veterinary Data Policy

This policy explains the special data protection measures for veterinary medical records and pet health data processed through the Vetigen platform.

Veterinary data is highly sensitive and requires special protection.

Types of veterinary data processed:

• SOAP notes, diagnoses, treatment plans, surgical records
• Pet demographic information (species, breed, age, sex)
• Pet owner contact and identification information
• Laboratory results, radiology images, pathology reports
• Prescriptions, drug dosages, and treatment protocols

Veterinary data is processed based on the following legal grounds:

• Separate, specific and informed consent where required and no other processing condition applies
• Performance of the veterinary service contract
• Veterinary record-keeping obligations
• Legitimate interests of the veterinary clinic

• Active Patients: Active care records: for the period needed for clinic services and legal record obligations
• Inactive Patients: Inactive patient records: according to country, record type, care and dispute requirements; no universal ten-year rule applies
• Deceased Animals: Records after death: death alone does not require all records to be erased; continuing purposes and obligations are assessed
• Legal Requirements: If legal requirement exists: For the statutory period

Pet owners may make the following requests under their rights in the relevant records and the clinic’s responsibilities. Personal account deletion does not automatically erase the clinic’s medical history:

• View their pets' medical records
• Request copies of records
• Transfer records to another clinic (data portability)
• Request correction of inaccurate information
